Refund & Cancellation Policy

Effective September 4, 2026

This policy covers Xtreme Book’s own Pro and Ultimate subscription plans, paid through Settings > Plan & Billing. It doesn’t cover payments your customers make to your organization through your own Flutterwave connection — those are between you and your customer.

1. How billing works

Pro and Ultimate are billed per 30-day period, paid in advance at the moment you upgrade or renew. There’s no automatic recurring charge — nothing is billed to you without you actively starting a checkout. When a paid period ends without a new payment, your organization automatically reverts to Free-tier access; none of your data is deleted or hidden.

2. Cancellation

Because subscriptions don’t auto-renew, there’s nothing to formally “cancel” — simply don’t renew when your current period ends, and your organization will move to Free at that point. Features gated to Pro or Ultimate (see Terms of Service) become unavailable at that point, but your existing records stay intact and accessible.

3. Refunds

Payments for Pro and Ultimate periods are generally non-refundable once processed, since the plan is active and usable for the full period paid for. We’ll make an exception and issue a full or partial refund, at our discretion, where:

  • You were charged twice for the same period due to a technical error;
  • A payment was made in error and you contact us within 7 days of the charge, before meaningfully using the plan’s paid-tier features; or
  • The Service was substantially unavailable for a significant part of the period you paid for, due to a fault on our side.

To request a refund, email billing@xtremebook.com with your organization name and the transaction reference shown in Settings > Plan & Billing. Approved refunds are returned to the original Flutterwave payment method and may take a few business days to appear, depending on your bank or mobile money provider.

4. Plan changes

Switching from Pro to Ultimate (or back) takes effect on your next payment — a new payment always starts a fresh 30-day period at the newly selected plan’s price rather than pro-rating time already paid for.

5. Account closure

If you close your organization’s account entirely, any unused portion of a current paid period is treated the same as a mid-period cancellation under section 3 above — contact billing@xtremebook.com if you believe a refund is warranted.
