Terms of Service

Effective September 4, 2026

These Terms of Service (“Terms”) are the agreement between you, and the business organization you represent (“you”, “your organization”), and Xtreme Book (“Xtreme Book”, “we”, “us”) governing your use of the Xtreme Book bookkeeping application (the “Service”). By creating an account or otherwise using the Service, you agree to these Terms. If you’re accepting them on behalf of a business, you confirm you have the authority to do so.

1. The Service

Xtreme Book is cloud bookkeeping software: invoicing, expenses, banking, inventory, payroll, reporting, and related tools for small and growing businesses. Xtreme Book is a record-keeping and workflow tool — it is not a licensed accounting, tax, or legal advisory service, and nothing in the Service constitutes professional accounting, tax, or legal advice. You’re responsible for the accuracy of the financial data you enter and for your own compliance with applicable tax and accounting obligations; we’d recommend involving a qualified accountant for anything that depends on it.

2. Accounts

  • You must provide accurate registration information and keep your login credentials confidential. You’re responsible for all activity that happens under your account.
  • One person creates an organization and becomes its Owner; the Owner can invite team members and assign each of them a role (Owner, Accountant, Supervisor, or Staff) that determines what they can see and do.
  • You must be at least 18 to create an account.
  • Tell us immediately at security@xtremebook.com if you suspect unauthorized access to your account.

3. Plans & billing

  • Xtreme Book offers Free, Pro, and Ultimate plans; current pricing and what each includes is shown in Settings > Plan & Billing inside the app.
  • Pro and Ultimate are billed monthly, in advance, and paid through Flutterwave. Each successful payment covers a 30-day period from the moment it’s made; paying again always starts a fresh 30-day period rather than stacking onto time already remaining.
  • Subscriptions do not auto-renew on their own — each period must be renewed manually from Settings > Plan & Billing. If a paid period lapses without renewal, your organization automatically reverts to Free-tier access rather than being interrupted mid-record; nothing you’ve already entered is deleted or hidden.

  • We may change plan pricing or features going forward; we’ll give notice before a change affects your then-current billing period.

4. Your data

As between you and Xtreme Book, you and your organization own the business data you put into the Service. We process it to provide the Service to you, as described in our Privacy Policy. You can export your data at any time from Settings > Data Export, and you can request deletion of your account and its data as described there.

5. Acceptable use

You agree to use the Service only as permitted by law and by our Acceptable Use Policy, which is part of these Terms. In short: don’t use Xtreme Book to defraud anyone, launder money, evade tax unlawfully, send spam, store data you don’t have the right to store, or attack, scrape, or reverse-engineer the Service.

6. Third-party services

The Service integrates with third-party services you may choose to connect — Flutterwave for payment collection, Google or Facebook for sign-in, and others listed on our Sub-processors page. Your use of those services is also governed by their own terms; we’re not responsible for how they operate.

7. Availability

We aim to keep Xtreme Book available and reliable, but the Service is provided on an “as available” basis without a guaranteed uptime commitment at this time. We may need to suspend access temporarily for maintenance, and we’ll try to keep any planned downtime brief and, where practical, scheduled outside normal business hours.

8. Suspension & termination

  • You can stop using the Service and delete your account at any time from Settings > Privacy & Security > Danger Zone; export your data first, since deletion removes access to it. If you’re the sole Owner of a business with no other members, this also closes that organization’s account.
  • We may suspend or terminate an account that breaches these Terms (including the Acceptable Use Policy), that we reasonably believe is fraudulent, or where required by law — we’ll give notice where we reasonably can, except where doing so would itself create risk (e.g. active fraud).
  • On termination, the license to use the Service ends; provisions that by their nature should survive (ownership, liability, governing law) continue to apply.

9. Intellectual property

Xtreme Book and its original content, features, and functionality are owned by us and protected by applicable intellectual property laws. These Terms don’t grant you any right to our trademarks, logos, or branding beyond what’s needed to use the Service normally.

10. Disclaimers

The Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including any warranty of merchantability, fitness for a particular purpose, or non-infringement, to the fullest extent permitted by law. We don’t warrant that the Service will be uninterrupted, error-free, or that calculations or reports will be free of every possible defect, though we work hard to make sure they are.

11. Limitation of liability

To the fullest extent permitted by law, Xtreme Book will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunity, arising from your use of the Service. Our total liability for any claim arising from these Terms or the Service is limited to the amount you paid us for the Service in the 12 months before the claim arose, or, on the Free plan, to fifty US dollars (US$50).

12. Indemnity

You agree to indemnify and hold Xtreme Book harmless from any claim arising from your breach of these Terms, your violation of law, or the data you enter into the Service, except to the extent caused by our own breach of these Terms.

13. Governing law

These Terms are governed by the laws of the Republic of Uganda, without regard to its conflict-of-law principles. Any dispute arising from these Terms or the Service will be subject to the exclusive jurisdiction of the courts of Uganda, unless a mandatory law that applies to you gives you the right to bring a claim in your own country of residence.

14. Changes to these Terms

We may update these Terms from time to time. If a change is material, we’ll notify organization owners by email or in-app notice before it takes effect. Continuing to use the Service after a change takes effect means you accept the updated Terms.
